Every group trip organiser in NCR eventually asks the same question at the worst possible time: is it cheaper to book one tempo traveller, or should we just send everyone in separate cabs? only becomes cost-effective once your headcount comfortably fills it. A

Splitting guests across 3–4 tempo travellers by family group means each vehicle
can travel at its own pace, stop for elderly relatives when needed, and still
arrive within a tight window of each other — something a single large bus with
60 people and 60 different comfort needs struggles to do gracefully.

cleanest option — one driver who gets to know the group's pace over three days,
rather than four separate car drivers each doing their own thing.

at this scale. The deciding factor is often not cost but flexibility — tempo
travellers allow smaller, more manageable groups per vehicle for supervision

you strip away the specifics of each scenario, a consistent pattern shows up: tempo
travellers are the cost-and-coordination sweet spot for groups of roughly 15 to
50 people, especially when the trip is one day or an overnight, and
especially when the group includes a mix of ages or needs (weddings,
pilgrimage, family-inclusive corporate events).
Cars
remain better below about 8–10 people. Buses only become genuinely
cost-effective once your group reliably fills 80%+ of the bus capacity —
anything less and you're paying for empty seats.
Booking lead time
One
thing this calculator can't show in a table: tempo traveller availability in
NCR tightens significantly during wedding season (October to February) and the
December corporate-offsite window. For groups above 30 people needing multiple
vehicles on the same date, book at least 2-5 days in advance during these
windows; outside peak season, a week is usually sufficient.
Using this for your own group
Take
your headcount, pick the closest scenario above, and you have a realistic
per-head budget before you start calling around. If your route isn't listed,
the method is the same — rental rate, fuel, tolls, driver allowance, divided by
headcount. It takes fifteen minutes and removes the guesswork from what is
usually the most argued-about line item in any group trip budget.
